Personal Executive Assistant

We are seeking a reliable and proactive Personal Assistant to provide dedicated administrative and secretarial support in an efficient and organized manner. This role involves working closely on a one-to-one basis with the manager, handling a diverse range of tasks related to their professional responsibilities and communications.

Key Responsibilities:

-Manage incoming phone calls, screen and direct them appropriately, and ensure timely distribution of correspondence.
-Respond to requests and queries in a professional and efficient manner.
-Maintain the manager’s calendar, including scheduling meetings and appointments.
-Prepare and update spreadsheets, reports, and other necessary documentation.
-Provide personal assistance to the manager as required, including occasional errands or administrative support (e.g., making coffee, shopping).
-Support the recruitment process for roles within the manager’s department.
-Assist with the preparation and processing of purchase orders (POs).

Requirements and Skills:

-Previous experience as a Personal Assistant is advantageous but not essential.
-Familiarity with office management systems and standard administrative procedures.
-Proficiency in Microsoft Office applications and strong command of the English language.
-Excellent organizational and time management abilities.
-Strong multitasking skills with the ability to prioritize tasks effectively.
-Exceptional verbal and written communication skills.
-Demonstrated discretion and the ability to maintain confidentiality at all times.
-Possession of a valid Code 8 driver’s license and access to a personal vehicle.
