We are seeking a highly organised, detail-oriented Operations & Administrative Coordinator to support our growing team. This role is ideal for a mature professional (preferably 30 years or older) with strong administrative experience and a background in operational or fleet coordination.

Key Responsibilities

Operational Support

Coordinate and oversee daily operational activities for a fleet of 5 vehicles.

Maintain vehicle logs, service schedules, fuel usage, and compliance documentation.

Monitor and manage job scheduling, site reports, and technician check-ins.

Prepare daily operational checklists and ensure all departments adhere to them.

Administrative Management

Maintain accurate records, filing systems, and supplier documentation.

Handle client correspondence, quotations, and project-related paperwork.

Assist in preparing management reports and weekly summaries.

Coordinate with vendors, service providers, and clients to ensure smooth operations.

Presentation & Reporting

Compile and design professional PowerPoint or PDF presentations for client meetings and tenders.

Gather data and assist in preparing project documentation and performance summaries.

Support the management team with ad-hoc reporting and administrative requests.

Skills & Competencies

Strong organisational and time management skills.

Excellent communication and interpersonal abilities.

High attention to detail and accuracy in documentation.

Proficiency in Microsoft Office Suite (especially Excel, PowerPoint, and Outlook).

Ability to multitask in a dynamic, fast-paced environment.

Strong problem-solving and initiative-taking mindset.

Qualifications & Experience

Minimum of 5 years’ experience in an administrative or operations coordination role.

Experience managing a small fleet (5+ vehicles).

Familiarity with technical, engineering, or field service industries will be advantageous.

Matric required; tertiary qualification or diploma in administration/operations management preferred.

Valid driver’s license.
